**Your platform -> Storage** in your admin dashboard.

One bucket for your whole firm. Everything your team keeps with us counts
against it: the mail and its attachments, the screenshots on support tickets,
the pictures inside messages and campaigns, files handed to the assistant, the
images on your certificate templates and your branding.

A bucket rather than an allowance each, because a mailbox belongs to the team.
`support@` is not one person's, and neither is what it is holding.

## Nothing stops when it fills up

This is the part worth reading twice. Being full does not refuse an upload, does
not block an attachment, and never turns away incoming mail. Post that vanishes
because a counter filled up hurts the person who wrote to you, who has no idea
any of this exists.

What being full does is show up on this page and put a mail in your inbox. If
you stay above your limit we will talk to you about a larger plan. We will not
quietly break your mailbox to make the point.

The per-file limits are a separate thing and stay as they are: 5 MB for a
picture inside a message, 8 MB for a mail attachment, 25 MB for a sound.

## What the page shows

The line under the name says how full the bucket is right now: what is in use,
of how much, on which plan, and what is still free. Over the limit it says by
how much, and that nothing is blocked because of it.

**What the bucket holds.** Four figures that are the tabs of one line: **In
use**, **Mail**, **Support** and **Files and branding**. Pick the last 30 days,
90 days or 12 months at the top. Each figure shows its size now and how much it
changed since the first night of that window, and the line above the chart says
the same in bytes. On **In use** it also says when the bucket is full at the
pace of the window, and once you are past half of it the limit is drawn across
the line.

We measure every night and keep four hundred days of it, with today counted as
it stands. A night the measurement did not run has no point: the line runs from
the night before to the night after rather than dropping to a zero you might
believe. A firm that is new has no line yet, and the page says it starts
tonight.

Under the chart are the kinds of file behind the chosen figure, with their size,
their change over the window and their share of the bucket. A row opens the
screen where those files live (Mail, Tickets, Branding, Certificates, Affiliate
materials) if you may open it. Right-click a row to show its biggest items or to
clean it up now.

**What takes the room.** What is on the disk now, whatever the window says, in
three views:

- **Largest items**: the fifty biggest single things across every kind of file,
with who they came from, the date, and a link to the message or ticket they
belong to. Filter them by kind. Start here when you need room today.
- **People**: everyone who put files here, biggest first, team and traders alike.
People own what they uploaded: ticket screenshots, images they put into a
message, files they gave the assistant. A firm with thousands of traders sees
the first hundred and one line for the rest.
- **Mailboxes**: mail and attachments per address. Mail is never on the people
list, because a shared address belongs to the team and not to whoever answered.

Every list can be searched, sorted from its column heads and paged, and every
row has a menu to open it, open it in a new tab, or copy its name, address, id
or link.

**Export.** The button at the top downloads what the page shows as a CSV: the
bucket per kind of file per night over the window, the kinds of file now, every
person (not just the first hundred), every mailbox, or the two hundred biggest
items.

**Recent activity.** The last cleanups, by hand or by a rule at night, and the
last changes to the rules and warnings below, each a link to its entry in the
activity log. Only for whoever may read the activity log.

## Free up room

The column on the right, or right under the header on a narrow screen, says how
much could go right now, measured before you click anything:

- **Trash** and **Spam** of the mailboxes you can read, with an **Empty** button
for each. Both empty themselves after thirty days anyway.
- Each cleanup rule, with what it would take at its saved settings and a
**Clean up** button that runs it once without turning the nightly version on.

Every button asks first and says how many files and how much space go, and a
cleanup also says what it leaves alone. The cleanup asks the server what your
settings would take before it asks you, so the number in the question is real. Nothing matching is said
where the button was, rather than in a dialog with nothing to confirm. A rule
you changed but did not save yet runs on what is typed. Right-click a row for the
same actions, to open trash or spam in Mail, to jump to a rule's settings, or to
show its biggest items.

Below it is your plan: its size, how full it is, what room past the limit costs
per GB a month (once storage is billed), and a button to ask us for more room.

## Rules and warnings

What happens on its own, saved together with the bar that appears at the bottom
of the screen as soon as something changed. Only what you changed is sent, so a
colleague who changed another rule at the same time keeps their change.

### Cleanup rules

Every rule is switched off until you switch it on. We do not delete anything
because we thought it was a good idea, and there is no default that quietly
starts throwing files away. Each rule keeps a number of days, between 7 and
3650, with the suggested number one click away.

**Mail attachments.** Attachments older than that, in the folders you tick.
Nothing is ticked to begin with, which means nothing is touched however the
switch is set. The message stays and stays readable. Only the file is gone. Only
folders that keep their mail are offered: trash and spam empty themselves.

**Images in messages.** Pictures that nothing shows any more. Every night we
read through everything your firm has written, campaigns, templates, signatures,
notes, tickets, legal pages and the rest, and note which images turn up. Only an
image that was looked for and not found becomes eligible, and only once it is
older than your retention. A scan that does not finish leaves everything alone,
so a night we could not read something is never a night you lose a picture. The
rule says when it last looked.

**AI attachments.** Files people handed to the assistant. These disappear from
the conversation as well as from the disk.

Whatever goes, by hand or overnight, is written to your activity log with the
numbers.

Support ticket screenshots are deliberately not on this list. They are the
evidence in a conversation, they are small, and the room is somewhere else.

### Warnings

We mail at 80, 95 and 100 per cent of your limit. Each of those goes out once
and not again: a warning that repeats itself every night is a warning people
file away unread. Drop back under 80 per cent and the counter resets, so the
next climb is news again. Sitting at the same level for more than a month gets
one reminder.

**Mail the team at** picks which of the three reach your own people. All three
are on to begin with. Everyone on your team with the **View storage** permission
gets them, because they are the people who can act on it, and the page says how
many people that is. If nobody holds that permission, everyone who runs the firm
gets them instead.

**Also mail** adds up to five addresses outside the team, such as your
bookkeeper. They get the same warnings by mail, at the thresholds you kept on.

Past your limit we are copied in as well, whatever you pick: at that point it is
our disk you are on, and a customer we never spoke to is not something we want
to discover from a full server.

The mail says what you are keeping, what you may keep, and the two ways out. It
never says anything has stopped working, because nothing has.

## Who can see it

The screen needs the **View storage** permission, which you hand out per role
like every other one.

Changing the rules and warnings, cleaning up and emptying folders need a second
one, **Manage storage**. Watching what the platform costs and being able to empty
somebody's sent folder are not the same job. Without it the page shows every
figure and every setting, and says why nothing can be changed.

Viewing is deliberately not the same as access to the mailbox. Someone who
watches what the platform costs is not automatically someone who may read your
correspondence. A message or an attachment in a mailbox they cannot open in
Mail, or in any mailbox without **View mailbox**, keeps its size and its mailbox
but loses the subject, the file name and the link, in the export as well. Trash
and spam count only the mailboxes they can open. The figures stay complete. Only
the contents are withheld.

A row only links to a screen you may open: a trader to **View traders**, a
colleague to **View team**, a ticket to **View tickets**, and so on.

## Plans

| Plan | Included |
| ---- | -------- |
| Free | 50 GB |
| Plus | 500 GB |
| Pro | 2 TB |

Every propfirm starts on Free. Ask us for a larger one, or for a figure of your
own if none of the three fits what you do.

There used to be a separate mailbox quota of 5 GB and a separate 250 MB for
pictures inside messages. Both are gone, and everything they counted is in this
one bucket. The bar in your mail section now shows the same figure this page
does: two numbers for the same disk is one number that will be wrong.

## Sounds and avatars

Neither counts against your bucket. A custom notification sound belongs to the
trader who saved it, is often shared with other firms' traders, and keeps its
own limit of 100 MB per person. Profile pictures are the same idea and too small
to be worth counting.

## In the older designs

On the Propper - OG and Tactical designs the page is laid out as panels: the
bucket as a bar, a stacked graph of how it grew per category over 30 days, 90
days or a year, the categories, the people and the mailboxes as separate lists,
the twenty five biggest items, and the cleanup rules with their own save bar.
The trash can be emptied from there, spam cannot. Which thresholds mail your
team and the extra addresses are set on the new design only, and the older
pages follow whatever was set there. There is no export and no list of recent
cleanups.
